Customer Management

Adding a New Customer

New customers need to have visit_frequency and assigned_employee_id set for automatic schedule generation.

Required Data:

Company Name and Customer Code
Contact Person and contact info
Complete address

Territory assignment
Visit frequency
Assigned employee

Customer Assignment

The Customer Assignment page is used to manage customer assignments to specific employees with detailed visit settings.

Assignment Type - Primary, Secondary, Backup
Visit Frequency - Weekly, Bi-weekly, Monthly
Preferred day & time - For consistent scheduling
Target revenue - Revenue and visit targets

Territory Management

Territory Management is used to manage area/region coverage for sales operations.

Territory Data:

Territory Name & Code - Area identifier
Geographic Coverage - Province, city, district
GPS Boundaries - Coordinates for mobile app
Performance Targets - Targets per territory
Coverage Radius - Radius for GPS validation

Integration: Territory data is used in Employee Territory Assignment, Customer Assignment, and Visit Schedule.

Visit Schedule

Quick Start

Make sure customer has visit_frequency and assigned_employee_id
Open the Customer Visit → Visit Schedule page
Click the "Auto Generate" button to create automatic schedules
Or click "Add Schedule" to create manually

3-Type Visit System:

Type	Pattern	Description
Weekly	Every week on a specific day	For high priority customers
Bi-Weekly	Odd/even weeks on a specific day	Medium priority customers
Monthly	Fixed date each month	Regular customers

Sales Order

Creating a Sales Order:

Select Customer

Search customer by name or code

Add Products

Select products and set quantities

Review & Submit

Review order and submit for approval

Note: Sales orders will go through the approval process if they exceed credit limits or other conditions.

Delivery Management

Delivery Features:

Delivery Orders - Manage deliveries from approved sales orders
Delivery Tracking - Real-time delivery status tracking
Proof of Delivery (POD) - Upload delivery proof with photos and signatures
Delivery Returns - Handle customer returns

Frequently Asked Questions

Auto Generate searches for all customers with visit_frequency and assigned_employee_id, then creates automatic schedules based on those frequencies. The system prevents duplicates by checking if there's already an incomplete schedule for that customer.

Make sure the customer has:

status = 'active'
visit_frequency = weekly, bi-weekly, or monthly
assigned_employee_id = ID of the responsible employee

Possible causes:

Customer doesn't have visit_frequency
Customer doesn't have assigned_employee_id
Customer status is not 'active'
Customer already has an incomplete schedule

There are 2 ways:

Quick Update: Click the status dropdown in the visit schedule table
Edit Form: Click the edit button, change the status in the form, then save

Territory Assignment: Assigns employees responsibility for specific geographic areas/regions
Customer Assignment: Assigns employees responsibility for specific customers with detailed visit settings
